Two minutes to understand with affairs

I do not know, how whom, and I in the childhood was amused with the such: to write itself the list has put, and, having mastered them, methodically to delete. A simple way to feel taste of achievements. For sensation of scale of the project in the childhood was to use cunning slightly enough – not easier to scratch in the plan: «to clean a room», and to paint on small problems: «to wipe a dust», to "sweep", «to spread out textbooks» - and then to delete all points with feeling of the executed debt.

Practice of more mature age has shown, that it was truly the children's approach. Now to be proud of itself, it would be desirable not to multiply quantity of problems, and to reduce them.

The system getting things done (GTD) – under the name of the book of David Alain (in a Russian translation - «How to understand with affairs») became acknowledgement of this simple reason. The Another matter, that the author of system GTD, we will be it so to name for brevity, has offered flexible enough methods for reduction as quantities of problems, and time for their performance.

That prevents to understand with affairs

System GTD is based on several principles.

· the Information on the planned affairs should be held not in a head, and in any more reliable place. At the expense of what our operative memory is released, the fear something vanishes to miss and there is an energy for more creative problems.

· For the majority of people work is connected with многозадачностью and constant switchings. And recently – also with weak predictability of working process which consists now not only of performance of working problems, but also the communications, the extraneous information and weight of the distracting factors stealing our attention. From it there is an impression of the snow clod which has pulled hard on you from under which it is not visible neither prospects, nor global problems, like «what for all it is necessary for me».

· Old systems of the organisation of problems like the daily log, become ineffective: one business pulls behind itself a little others, another – sags at the intermediate stage, the third is postponed – so, with a key problem «to release a head from routine» the daily log does not consult. 

GTD – some kind of three-dimensional model for scheduling. And together with new measurement there is also a new philosophy.

Input point

By and large, we with our problems in particular and with any arriving information as a whole should work, as in good accounts department: planning – the account – the control. Such rationalistic approach should not frighten: it is required to rake this mad heap and to be engaged in more raised things.

Let's begin with an example of base procedure which needs to be spent with any arriving information: from the planned affairs to telephone scoldings.

The sequence of actions is that:

1. To understand, whether the entering information of the further actions demands? If is not present, it moves to one of three places: in dust, in a folder "Postponed" or in a help material.

2. If the entering information all the same demands the further actions, at first it is necessary to define, what desirable result.

3. Now it is necessary to understand, whether you are capable to cope with this business for two minutes (by the way, for this time it is possible to make weight of useful things: to dictate phone, to hang out linen from the washing machine, to write the list of problems for tomorrow). If business occupies two minutes – hurrah: we carry out and is forgotten. If is not present, it is possible for somebody to entrust it. But not always. Then to get out it is necessary by own strength: business should be brought in plans in one of two sections: to certain term or when there will be time.

Now there is a logical question: and what there with the mentioned folders and sections? Bad news that just the abundance of folders frightens off neophytes from system GTD. Good news what to understand with them it is not more difficult, than to learn to go for a drive on a bicycle. We will begin a little from apart: ability to work with the information especially is not useful, if you have not understood with planning questions.

Planning: dreams and lists

Those who already faced systems of the organisation of working processes, at all will not be surprised: GTD in the same way is based on necessity to plan the actions – both short-term, and long-term.

So, we take a sheet of paper and in any order we make the list «хотелок» - aspirations, projects, requirements which are necessary for realising now or in the future. The high purposes will adjoin here to household needs, and simple affairs – with the scale projects, seeming unattainable. Now, when plans from a head are transferred on a paper, they should be sorted.

The first: current projects – everything over what you now work. The second: plans for 1-2 years – in what you wish to be engaged in immediate prospects. The third: vision in 3-5 years, an image of the future to what you to yourselves represent it in the light of your affairs. And, at last, GTD recommends to think for a theme of to what you in general represent the life of years эдак through 20 – and as it to reach.

Then it is time to go down level more low – and to look, as it is possible to realise each of these plans. A problem of dreamers that they frequently vaguely imagine result. How you will understand, what your project is successfully realised? What is success in your case?

And now the important: each your plan since this moment is considered as the project demanding certain sequence of actions for the sake of result. Therefore there is a necessity to paint sequence of the actions leading to the purpose. So we gradually go down on the most base level with which there has been begun conversation: the road to great projects begins with daily consecutive work on them. And to consult with all problems, we need to clear away space from routine and a peel. And here folders and catalogues will be useful to us.

Where your folder, the dude?

The list of problems at us already is – it still is useful in an economy.

Now storehouse "Entering" which can become a tray, a box, a folder is required to us. Here there should be the entering information fixed on a paper (a sticker, a library card).

Folder "Urgently" - leaflets with all affairs which are necessary for executing quickly and to certain term here are located.

The folder «When will appear time» - leaflets with records of the projects postponed to the best times here are stored.

Those projects which development depends on intervention of the third parties, move to a folder "Response" of expectation of a call, the permission, the visa Etc. probably, it is necessary to remind the necessary people or the organisations that you wait for their reaction.

And one more storehouse named Allen «Help information»: that can be useful further – another's cut-aways here comes across, addresses and phones, directories and the other things facilitating vital navigation.

In work with folders it is important to remember two things. First, the leaf with a problem can remove from one storehouse to another. And, secondly: (and also daily, weekly and long-term plans) it is necessary to reconsider contents of all folders regularly – and if it is required to adjust them to varying reality.

System GTD – in general flexible enough piece: that is capable to develop and modify it for the needs not only the guru-inventor, but also any interested person testifies to it. There are many the English-speaking blogs devoted to theme GTD: to stories about the achievements and the personal small inventions, allowing to improve the efficiency. In Russian it is less than such resources, but they are.

David Allen often compares possession GTD to fighting arts, meaning a condition of full calmness and раскрепощенности – it is natural, that each "fighter" introduces elements of the individuality in fight technics.
